Introduction

All applications will come through Scouts.Digital – this is a non-negotiable. Once the course has been created you will start receiving notifications of applications. You will also notice another Role has been added to your Scouts.Digital profile.


Regional Course Director Role

When you are processing anything to do with your course you MUST ensure that your Role is set to Regional Course Director. Click on Switch Roles and click – your dashboard will then reload.

You then scroll down to Training Management at the bottom and then click My CD Courses in the sub-menu


Processing Applications

Once you have passed the closing date you will need to process the applications. You can do this by opening Scouts.Digital and going to your Course Leader Role. Once there you will need to select the course you are going to be working on from the drop-down. Once done, you will see a list of the scouts and their application statuses, it will be one of three:

Provisional: This means that they have just applied for the course and no action has been taken since then. In some cases, Eleanor may have left a note next on the scout’s application saying their payment has reflected. In this case you may CONFIRM them manually if she has not done so

Confirmed: This means that they have either uploaded the proof of payment for the course, or their payment has reflected on the HQ Bank Statement and Eleanor has updated it. You must be sure to check the POPs uploaded by scouts as if they have not done it correctly then it will show as them having paid when they might not have

Guaranteed: Only you as the Course Leader can Guarantee a scout. If a scout has been Guaranteed it means that they have met all the course requirements and they have paid.

If a scout cancels their application, it will be removed it from the main page and it will show under CANCELLED.

You can change the status of an application by clicking on Actions:

It has to go Provisional >> Confirmed >> Guaranteed (obviously if an applicant is not selected then they will not be guaranteed)
